For wedding photographers, DJs, and vendors

Your wedding day timeline, finally not a stale PDF.

When First Look moves, your phone shows the new time, the new location, and the diff. Tap acknowledge. The coordinator's worry meter drops. The bride keeps her phone in her bag.

Vendors do not pay for EventSync. Couples and coordinators do. Your role view is free with their invite.

The PDF you got three weeks ago is already wrong.

If you shoot weddings, work weddings, or DJ weddings, the timeline you received is almost never the timeline that runs. Last-minute changes happen between when you got the PDF and when you arrive. You should not have to text the bride to find out.

Three weeks out

The PDF said 4:15pm First Look

You read it, blocked the time, started thinking about light. Got the family list. Reviewed the shot plan.

Nothing else got sent. You assumed the timeline was locked.

Friday rehearsal

The timeline shifted, but only to some people

The coordinator updated the PDF for the planner suite. You did not get the new version.

There is no central source of truth. Different vendors have different versions.

Saturday morning

You text the bride to confirm

She is mid-hair-and-makeup. You apologize for texting. You wait 20 minutes for a reply.

She is the only person with answers. So she is the person being texted.

In the parking lot

First Look might be at a different spot

The garden path was the plan. The coordinator said something about the courtyard yesterday.

A wrong location for a 15 min shoot is a missed shot.

Reception

You missed the entrance because cue moved

The DJ knew. The MC knew. The lighting tech knew. You had the wrong time.

Coordination tools that the rest of the team uses did not include you. You shot from a stale schedule.

Your phone shows the cue before you leave the car.

A live diff lands on your phone. New time. New location. Acknowledge once. The coordinator sees the green dot. You stop texting the bride. The lens goes back in the bag for sixty more seconds.

What the vendor view actually does.

Vendors get a focused, role-scoped view of the wedding timeline. Push notifications when cues move. A diff showing what changed. Acknowledge once.

Live timeline, role-scoped

You see First Look, portraits, ceremony, and reception entrance. You do not see DJ load-in or catering plate time.

A photographer's view shows 6-8 photo cues. A DJ's view shows 5-6 sound cues. A florist's view shows load-in and bouquet drop.

Less to scan. Less to miss. The cues that matter are visible immediately.

Push notifications with diffs

When a cue moves, the push tells you what changed: old time, new time, location, and a one-line reason.

First Look 4:15pm to 4:35pm. Location garden path to north courtyard. Reason: hair ran long.

You know what changed without scrolling through a thread or asking the bride.

Tap to acknowledge

One tap tells the coordinator you got the update. A green dot appears next to your name on their vendor roster.

First Look update lands at 4:01pm. You tap acknowledge at 4:01pm. Coordinator sees the dot turn green at 4:01pm.

No reply text needed. No bride loop. The coordinator stops worrying.

Mobile app or web view

Open your role view in the iPhone or Android app for push notifications, or in any browser when you do not want to install anything.

Browser link works on a tablet, laptop, or any phone. Push notifications require the mobile app.

Vendors decide their level of investment. The couple still gets coordination.

No bride texts required

The coordinator (or designated helper) routes answers. You stop pinging the couple on their wedding day.

A question about the family list goes to the coordinator. They reply once. The list is visible in your role view.

"Did not text the bride" is the difference between a vendor the coordinator hires twice and one they do not.

Vendor check-in

When you arrive, you get marked checked in. The coordinator's roster turns green next to your name.

DJ pulls up to the wrong entrance. Coordinator reroutes him. Mark as checked in once he is at Load-In C.

Coordination is about the people, not just the timeline.

How a vendor joins a wedding on EventSync.

Get the invite

The couple or coordinator sends you an invite code or link. The role (Photo, DJ, MC, Florist, Catering, Venue, Hair, Makeup) is pre-assigned.

Visual: invite email with a join button.

Open your role view

Tap the link. Your role view loads in the app or in a browser. You see only the cues that involve your role.

Visual: role view with 6 photo cues.

Run the day from your phone

When a cue moves, you get a diff. Tap acknowledge. When you arrive, mark yourself checked in. When something is unclear, the coordinator is your single point of contact.

Visual: push notification with a diff.

Want this on your next wedding? Send the couple this link.

EventSync runs on the couple's or coordinator's account. Your role view is free with their invite. The simplest way to get every wedding to use it is to tell the couple.

If the couple is running the day

No paid coordinator

They can sign up free, build the timeline, and invite you by role. The Wedding Pass adds day-of broadcasts for $29.99 one-time.

If a coordinator is running the day

Paid day-of coordinator

Many coordinators already use EventSync as their day-of layer. If yours does not, the Day-Of Coordinator overview is the page to share.

If the maid of honor is running the day

Friend or family helper

DIY coordinator setups also use EventSync. The helper view holds the timeline so the bride does not have to.

Vendor questions, answered.

Do I pay for EventSync as a vendor?
No. Vendors are invited to a wedding by the couple or coordinator. The role-scoped view is free on the vendor side. The subscription lives with whoever runs the wedding day.
Do I need to install an app?
You can use the mobile app or open your role view in a browser. The mobile app gives you push notifications for cue updates. The browser view works on any device, no install required.
What does my role view actually show?
Only the cues that involve your role. A photographer sees First Look, family portraits, ceremony, reception entrance. The photographer does not see DJ load-in or catering plate timing. Less clutter, less missed cues.
What if the timeline changes?
The cue updates on your phone with a diff showing what moved, where, and from when to when. Tap acknowledge so the coordinator stops worrying. No need to text the bride.
How do I tell the couple about EventSync?
Send them this page or the home page. The couple can sign up free, build the timeline, and invite you by role. They can also upgrade to the Wedding Pass for day-of broadcasts if they want full vendor coordination.
What if the wedding does not use EventSync?
Then you do what every vendor does today: rely on the latest PDF, text the bride, and hope for the best. The point of this page is to give you something better to suggest.

Better weddings start with vendors who got the right time.

You did not get into wedding photography to text brides. Send the couple this page. Run their day from a live timeline. Stop apologizing for asking.

Vendors do not pay. Couples and coordinators do.
